2018111611-16-2018 : CONTRACT EXTENSION STATUS Master Contract 00508 for janitorial services will be extended for an additional six months until April 15, 2019, with vendors who have reported sales from the contract. A gap in coverage was anticipated as the new Contract 02317 was being developed. DES has determined that extending 00508 would better meet customers’ needs. Contract 00508 is used by multiple state agencies, school districts, cities, counties, higher education and nonprofits statewide.
2018070307-03-2018 : A Request for Information (RFI) was posted in the Washington Electronic Business Solution (WEBS) software platform on 6/4/18 to the approved Janitorial Vendor list for contract 00508. The questions to the vendors was vetted through multiple stakeholders. By including vendors in the procurement process, DES intends to create an updated Janitorial Services Master Contract that is in alignment with current industry specifications and best practices. The deadline for submitting responses was 6/25/18.
2018070307-03-2018 : Stakeholder work was completed with ten stakeholder agencies from 10/17 – 04/18 to understand what customers wanted from a rebid of the Janitorial Services Master Contract.
2018060106-01-2018 : ABM Industries Incorporated has changed to ABM Industry Groups, LLC. Department of Enterprise Services enacted an Assignment & Assumption, which was approved 5/22/18. All janitorial contracts with ABM, Inc. will be fulfilled by ABM, LLC, excluding prior arrangement.
2017120412-04-2017 : CONTRACT REBID STATUS DES is seeking stakeholder input to offer Subject Matter Expertise (SME) on the rebid of the Janitorial Services Contract (00508). The contract is reaching its maximum term and will expire November 14, 2018. DES is also seeking feedback from contract users about vendor and contract performance. 2017100210-02-2017 : W3830 Varsity Facility Services sent a memo to their customers in August 2017, alerting them that they were purchased by Kellermeyer Bergensons Services (KBS) company. Varsity joined KBS as an operating division and continued to utilize the Varsity brand. Per the memo, there was no change to working with the contractor. All points of contact and operating protocols remained the same. Existing contracts were being honored and fulfilled as presently constituted. The new name of the vendor is Varsity Facility Services, a KBS Company. The 00508 Janitorial Vendor list on the contract summary page has been updated. Based on the information the vendor provided, DES determined an Assignment and Assumption was not needed. Washington’s contractual counterparty has not changed. Washington is still doing business with the original firm. The only thing that has changed is that the equity of the original firm now is owned by the purchaser firm.

2017090609-06-2017 : ADMINISTRATIVE CHANGE Contract Specialist updated the Contract Summary webpage with links to both the customer and the vendor web pages. This enables customers and vendors to get a more comprehensive idea of what is involved with using this contract.
2017070307-03-2017 : Contract Specialist is working on the contract 00508 rebid. Annual sales amounts (via term date amounts) are being updated quarterly. The new contract number is 02317.
2017060906-09-2017 : CONTRACT REBID STATUS Contract 00508 has a final term date of 11/16/2018. The new contract 02317 has been created. A MTF has been created and is updated as appropriate. Next steps include stakeholder work.
2016111711-17-2016 : CONTRACT EXTENSION STATUS An extension letter was sent out to all 90 vendors on contract letting them know that the contract has been automatically extended for an additional two year term to November 16, 2018.
2016091609-16-2016 : CONTRACT EXTENSION STATUS Contract extension process will begin end of September or beginning of October. Current term ends on November 16, 2016.

2013110611-06-2013 : 11/5/2013 We are starting to look at a new janitorial services contract which would run parallel with the current contract until the contract reached its maximum life cycle (2018) thereby creating as little disruption for clients yet still moving toward the new Lean Two Tier Process which Master Contracts is trying to implement.

2012083008-30-2012 : Due to Bart Potter’s schedule with other high priority projects, Melissa Cox will now be working with Jennifer Burbage to finalize the Janitorial Master Contract Amendment, to be issued to existing vendors within the next weeks, and to complete the 2012 Janitorial Master Contract Refresh Solicitation process. A Broadcast was released in June 2012 notifying clients and vendors of the upcoming refresh. Two Sourcing Team Meetings have been held for the Refresh, one was held on 06/20/12 and 08/01/12, and was shared simultaneously with current vendors. Jennifer reviewed Stakeholder comments 08/06/12, all which seem in agreement except for debarment which we will be looking further into after procurement reform around 01/01/13. The solicitation is tentatively scheduled to be released within the next couple weeks and the pre-bid shortly after. The next step is finalizing the master contract amendment and the refresh solicitation, making updates to the work request form, and notifying all vendors currently registered in WEBS under the Janitorial Services commodity codes to give them a heads up of the refresh process, and the changes to the master contract that will be implemented through the amendment. Regular updates will be provided throughout the process going forward, via contract updates and email communication, as needed.
2010122112-21-2010 : 12/10/10 Award was made to 32 bidders.
2010100610-06-2010 : Janitorial Services Master Contract 00508 Amendment #2 was sent to current pre qualified vendors on 10/1/10 to be effective on 11/17/10. Amendment #2 requested a 1 year extension along with amending sections of Master Contract 00508 (Please see amendment for changes). These changes were implemented based on customer and vendor feedback which recommended more current and applicable reference and quality assurance scores be applied at the time of each solicitation second-tier process.
2009072407-24-2009 : Per Steve Krueger, Policy and Protest Manager and Cheral Jones, Unit Manager, the State has posted the following information clarifying the OSP Bid Processing fee of $410.00 on the Janitorial Services web page under Special Purchasing Programs: The OSP Bid Processing fee of $410.00 is intended to be billed per Work Request form that is completed for each location. Therefore any requests for multiple locations for one resulting Work Contract could be subject to additional $410.00 processing fees in order to cover GA’s costs of managing the bid process for each location. Customers should keep in mind that this OSP Bid Processing fee is a significant discount from the past contract’s annual fees.
2008120412-04-2008 : The State of Washington is happy to announce the award of contract 00508 for Janitorial services . The effective date 11/17/2008 through 11/16/2010 with possibility of extension. This contract is a Two Tier contract that gives the customers greater flexibility and cost savings. This contract has 47 vendors of which 27% are either a minority of women business enterprise.
2008050705-07-2008 : Contract # 01902 due to expire on June 6th, 2008. No break in coverage anticipated. Letters are drafted to go out next week to vendors and customers regarding extensions of current work contracts & new contract # 00508 processes.
