| 02-11-2008 : | Extension of Contract 14603 Tractor with Loader and Backhoe Contract appeared on the 150 day report for review. Contact pulled from file room for review. Contract review determined: Contract is approaching expiration date. Contract contains clause allowing for 4/1 year possible extensions. This would be the 1st extension. Contract contains clause to allow for price escalation. Further review did not reveal any adverse comments concerning past performance. Contractor Performance Evaluation letter prepared for agency to review and comment. Agency review of CPE was favorable and recommendation is to extend for another term Contract Extension Letter prepared for contract supplier to review and provide response to term extension letter. Contract supplier returned extension letter agreeing to term extension. Additionally, contractor is requesting a pass through price adjustment received form his manufactures. Supporting documentation provided in support of price adjustment from contractors suppliers. Review of PPI for this commodity from 2006 to 2007 determines prices have been adjusted upwards by 5.7%. Cost analysis determined contractor on average is requesting a 1.4% increase over the next term of contract. Supplier in his request is not requesting the full amount suggested by the PPI which is 5.7 % which will provide the state with a 4.3% anticipated savings estimated amount over this term @ $953.00 per vehicle sold during this term. Cost saving report prepared for the projected estimated savings. Contract usage indicates contract has value determined by the sales over the past term. Based on the forgoing and review of contract 14603 the state’s contract specialist recommends that it is in the states best interest to extend this contract for another 1 year term of contract with revised pricing and thereafter firmly fixing prices for another 365 days. | |
