Washington State University (WSU) offers these services for state and eligible purchasers who establish non-competitive agreements or inter-agency agreements for these services. These labels hold no connection to statewide contracts that state agencies are required to use.

Services Offered

Audio Visual Management
Conference needs vary when it comes to AV requirements. Our team is accustomed to creating a need-based RFP to responsibly manage your AV dollars by only contracting for what is needed. From simple screen and projector events to complex tradeshow setups and beyond, our team can assist with make your AV goals realities.

Facility Management
WSU Productional Education has experience negotiating with venues and hotels in the United States, Canada, and abroad. Our experience ensures that our clients get outstanding meeting experiences at competitive prices. Our team are well versed at reviewing contracts and explaining industry jargon so that planners have a comprehensive understanding of obligations. We actively manage contract obligations for hotels, caterers, event venues, transportation companies and all other contractors.

Financial Management
You will have the security of knowing that all of your bills are paid in compliance with auditing procedures of the State of Washington. The Conference Management team can manage your budget from build to close or assist in providing needed financial data. Our team is dedicated to the stewardship of your financial goals through careful and accurate accounting.

Food and Beverage Management
The right food and beverage arrangements can set the stage for success at a meeting. We have the event knowledge to ensure success for your event by ensuring food plans are in line with your event experience and financial goals.

Marketing
Marketing a conference requires an infrastructure built to create and disseminate needed information to a set of potential attendees. We can assist with marketing your event to your stakeholders using your conference goals and messaging.

Onsite Management
Our pre-event and Onsite Management is our flagship service. The staff of Washington State University Professional Education is known for being skilled, creative, and efficient when it comes to handling all the complexities of managing a meeting onsite.

Abstract Management and Production
The Professional Education team can help you design, draft, and implement a specific strategy for gathering abstracts. We will coach you in setting fair timelines that match both applicant and planner needs, facilitating the digital receipt, organization, review, and selection of abstract content using in person or digital meeting technologies.

Registration Management
Our registration management service is customized to each unique conference. It includes designing and facilitating online registration, varying in complexity between standard contact information all the way through customized detailed agendas. We employ a team of coordinators who focus on facilitating the collection of registration fees via multiple payment methods while providing registration support via email, phone, and mail correspondence.

Speaker Coordination
We can assist with the contracting of all speakers, presenters, and entertainers that you may need for your event. We can also ensure that all speakers for your event have the proper information for their presentation and that you have everything you need from them.

Vendor / Exhibitor Show Management
We manage arrangements as small as 4 booth spaces up to 500 booth spaces. Our Vendor/Exhibitor show management includes working with the facility and decorator to coordinate needs for all parties involved. Our team creates a floor plan, manages registrations, takes payment and assists with onsite coordination.

Website Design / Development
We manage websites and the information posted to them with informed hands and the right tools. We can assist in designing, creating, and hosting of websites ranging in complexity from simple one-page FAQs to complex suites involving multiple tabs with customizable content and striking visual identities.
